Job Desctiption:

Overview of Role:
- Responsible to manage procurement process of required equipment, materials and suppliers locally or abroad at the best possible/ competitive prices for the efficient operation of the Resort
- To assist the Financial Controller to implement cost control procedures and ensure all tasks and reports pertaining to cost control are done.
- Ability to prepare and analyse data, figures and transcriptions
- Ability to negotiate and write contracts, agreements, performance requirements
- Area of work will be Purchasing office, Cost Control and any other area as assigned
Duties & Responsibilities
Operational
- Responsible for the purchasing of supplies required for the efficient operation of the resorts. This will include miscellaneous items and equipment known as "general stores" and food & beverage products.
- The Purchasing Manager will work closely with Management in the control of all purchases and assist in implementing Cost Control Procedures and ensure all tasks and reports pertaining to Cost Control are being done
- Work with F&B Manager to reduce F&B cost through price negotiations with suppliers whilst maintaining product standards. Towards this end be able to develop new supplier contracts
- Non-moving/expired stock should be controlled and communicated to the concerned HOD's team on monthly basis and plans put in place for utilization to avoid any write off
- Receives orders or requests from department heads for the purchase of supplies and equipment.
- Secures competitive bids on such supplies and equipment before placing orders. Also secures management approval on all items purchased.
- Purchasing Manager needs obtain approval from Financial Controller and General Manager for engaging with any new supplier
- Recommends standards if quality and price
- Work closely with department heads concerning expensive purchases, which are ordered in conformance with budget requirements
- Ensure procedures are followed by various departments in placing purchase orders, as per the MOU
- Maintains file of catalogues and descriptive literature on all hotel equipment supplies
- From time to time, interviews and meets sales representatives of supplier companies to learn of new products and prices
- Maintains close liaison with all departments, and be knowledgeable concerning their in so far as equipment and supplies are concerned
- Place orders only according to Grocery list/market list/Beverage list/Purchase Orders and any other emergency order upon approval from Financial Controller and the General Manager
- Purchasing Manager should not purchase any goods for hotel employees without prior approval from the Financial Controller and/or General Manager
- Purchasing Manager should always encourage suppliers to allow one month credit terms of payments in order to show better cash flow situations
- Conduct spot checks on the purchasing team during deliveries to eliminate possibilities of discrepancies between ordered and delivered content
- Always ensure storerooms are properly stored and circulation of stock. Any wastages on account of expiry/spoilage must be avoided at all times
- Manage mid-month and monthly stocktake and submit reports as outlined by the " Warwick Hotels and Resorts Deadlines"
- Carry out any other reasonable duty as assigned by Management

Employee Management
- To, create a high level of morale among your staff in the department.
- Ensure employees report for duty punctually, wearing correct uniform, name badge and footwear at all times.
- Ensure that all areas of responsibility are properly staffed, supervised and operating smoothly taking into account public holidays, days off, etc.
- Schedule staff in accordance with Management guidelines and the business trend to achieve high productivity and maximum output.
- Conduct training courses for new employees and regular refresher courses for existing employees.  
- Building of an efficient team of employees, taking an active interest in their welfare, safety, training and career development.
- Supervise employees within the Department ensuring that correct standards of services and method are maintained as laid out in the department's manual.
- Conduct annual appraisals of all your department personnel and review their general performance and areas of improvement.
- Liaise with the Financial Controller with the interviewing and hiring of new employees
- Supervise the orientation of new employees ensuring that they fully understand their job description and the policies and procedures of the Hotel as laid out in the Staff Handbook.
- Responsible to discipline and counsel staff as required by the Hotel Policy and procedures guideline of Personnel and Training.
- Ensure the employees have a complete understanding of and adhere to the Hotel's policies and procedures.

General
- Lead by example by practicing punctuality (avoid unnecessary absences and sick leave), be neatly attired & wear name badge at all times.
- Advise your Department Head before leaving the property.
- Perform duties common, as a Supervisor and always be prepared to step into any area requiring assistance.
- We encourage you to attend all training program held in-house or external.
- Be aware of the work schedule, to be punctual and giving adequate notice if, serious circumstances prevents attendance.
- Lead by example, be aware of house rules, obey them, assist in enforcing them, and encourage subordinates to do the same.
- To have a complete understanding of and adhere to the Hotel's staff handbook and the regulations contained therein.
- To have a complete understanding of and adhere to the Resort's policy relating to fire, health and hygiene, cyclone and safety procedures.
- Report any health or safety hazard as soon as you become aware of it.
- Undertake any other reasonable duty assigned by your Department Head.
- Respond to changes and trends as indicated by the Industry and Company/Resort.
- Conduct yourself in a professional and courteous manner towards your work colleagues to maintain good working relations.
- Conduct yourself in the proper manner befitting the image of Warwick Hotels and Resorts when in the Hotel and when representing the Hotel in sports and other functions outside the confines of the Hotel.

 

Selection Criteria:

Our ideal candidate:

• Experience in supply chain management, logistics, or business administration.
• Must be computer literate, competency in Ms Excel, Ms Word and with strong arithmetic skills.
• Should have good management skills, market researching tactics, negotiation skills, communication skills, and marketing capabilities.
• Ability to evaluate quality, price, reliability, technical support and availability of goods and services.
• Ability to recommend standards of quality and price.
• Must develop purchasing strategies, maintaining positive relationships with suppliers, coordinating with internal teams regarding their supply needs, and overseeing the purchasing team in their daily activities.
• Ability to getting involved in sourcing suppliers, contract drafting, negotiation and managing suppliers through the whole procurement process.
• Must review new project proposals, and handling contract negotiations with vendors.
• Manage mid-month and monthly stock take and submit reports as outlined by the "Warwick Hotels and Resorts Deadlines"
• Have flexibility with working hours and is a team player.
• Must be a self-starter and be able to work unsupervised.
• Must have a clean police record.
