IsraAID is an international non-governmental humanitarian aid organization based in Israel. Since we were founded in 2001, our teams have worked in emergency and long-term development settings in more than 60 countries around the world. Founded as a coalition of Israeli organizations working in disaster relief and international development, IsraAID has grown into an independent NGO and the largest humanitarian aid organization in Israel.

From earthquakes and hurricanes to epidemics and forced displacement, IsraAID has been at the forefront of responding to major humanitarian crises worldwide. We have worked in more than 60 countries (currently with long term missions in 12 countries) and at any one time have around 300 staff members worldwide.

We collaborate with communities at the deepest level in an approach we call 'Communities First'. The communities we work with supply local knowledge, experience, people-power, and tools. We deliver technologies, resources, and long-developed professional expertise (oftentimes from Israel, which has a lot of experience with trauma, water scarcity, and disaster relief and preparedness.)

Our mission is to support people affected by humanitarian crisis. We partner with local communities around the world to provide urgent aid, assist in recovery, and reduce the risk of future disasters.

 

Job Desctiption:

12 month contract with the possibility of extension based on funding

This position is only available to national candidates (living and working in Vanuatu)



Job Description

Log/Procurement

Coordinate logistics functions, integrating operations as far as possible. Arrange logistics for all office visitors (accommodation, visas, transportation)



Responsible for the planning and coordination of transportation requirements of the CO



Schedule and organize all staff meetings, in house and training events

Responsible for quotes and price comparisons

Responsible for office supplies requisition and inventory

Ensure agreed procurement and logistics standards and procedures are implemented and maintained/followed for all procurement activities



Assist project teams to establish and regularly update procurement and delivery/distribution plans to support the operational objectives of the CO projects



Take the lead in the procurement of goods, works, and services for the projects.



Responsible for ensuring all procurement, asset, transport files and reports are completed according to the agreed procedure and policy, and ensure donor compliance requirements are met.



Maintain communications with the relevant parties in the CO and HQ to ensure timely and efficient receipt and dispatch of goods to support operations.



As per Country Director instruction, undertake field trips to verify details of suppliers/service providers.





Admin

Take meeting minutes as required

Manage filing systems (programmes and HR) in google drive and hard copy per legal requirements

Assist in any emergency response and ensure team safety and readiness for deployment

Track and record leave days and contract end dates for team

Update Cigna health insurance information monthly or as required

Ensure team is aware of and sign organizational policies annually

Assist in the recruitment (screening of CVs and interviews) for national positions, and assist in the orientation and onboarding of new team members

Keep updated on laws (legal requirements, registration and HR requirements)

General support to CO per CD request and requirements

Prior experience in Logistics, Procurement and Admin roles
Qualification an advantage
