Job Description:
This is a contracted position where we are seeking to recruit a qualified person We are seeking to recruit a qualified person to be the Receptionist for the VSTAP Implementation Unit Office and to double as an Administration Officer for the Vanuatu Tourism Ambassadors Program to ensure appropriate operations, logistics, administration and management of this VSTAP project over the next 2 years.

Responsibilities: 
  • Always act as a friendly and welcoming receptionist and ensure that good customer service and public relations are maintained in the VSTAP office at all times.
  • Assist the National Co-coordinator of the Tourism Ambassadors Program to implement this program by providing secretarial, administrative and logistics support.
  • Ensure there is adequate stock, storage facilities and a distribution system for all equipment and materials to be used in the Tourism Ambassadors Program.
  • Make sure the manual filing system is operational and updated on a regular basis.
  • Maintain an assets register for all VSTAP office vehicles, equipment and furniture. Ensure that they are cleaned, functioning and maintained regularly.
  • Maintain the inventory stock of office supplies and stationery. Ensure required purchases are done in a timely and strategic fashion.
  • Ensure that all mail is collected and that the office is kept clean and tidy every day and ready for receiving visitors. 
  • Liaise with the VSTAP Team Leader and the Assistant Finance Officer to ensure that all bills and invoices are checked and are paid on time

        Criteria: 
        Qualification and Experience: 
        • A Certificate in Administration, Management and/or Tourism and Hospitality.
        • At least 3 years of relevant work experience in reception work and/or performing administrative duties within the tourism industry.
        • Have excellent inter-personal skills, written and verbal communication skills in English;
        • Proficient with Microsoft Office, especially MS-Word, MS-Excel and MS-Outlook;
        • Be adaptable and willing to work outside normal business hours during peak workloads.
        • A current driver’s licence would be an advantage.
