The Role
This position combines a dual role. As Board Secretary, the incumbent fulfils a
statutory function provided for under the Vanuatu Tourism Office Act CAP 142,
requiring him/her to attend all Board meetings, compile and circulate minutes
and keep in safe custody the seal and all documents of the Office as well as
maintain strict confidentiality in respect of all deliberations, decisions and
actions of the Board.
The Board Secretary also ensures adherence by Board members to legal
requirements and advises the General Manager in respect statutory requirements
under the VTO Act. As secretary to the General Manager, the holder of this
position acts as executive assistant (PA) to the Chief Executive Officer of VTO
and provides the necessary secretarial and administrative support to ensure a
smooth and efficient running of the General Manager’s office.

- Smooth and efficient organisation and servicing of Board meetings
- Accurate and effective preparation of minutes and timely circulation to members
- Satisfactory organisation of Board functions
- Safe-keeping of Board minutes, documents and the official seal of the Office
- Prompt and adequate submission of Board members’ returns
- Satisfactory completion of secretarial and administrative tasks in support of
the General Manager
- Smooth and efficient organisation and operation of the General Manager’s office.
