Job Description:
Position
Summary:
This position is part of the CARE Vanuatu Logistics team which is
responsible for logistical support to the CARE Vanuatu program.
Logistics officer provides day-to-day logistical support to the
CARE Vanuatu program including the management of all IT issues, asset
management and vehicle management.
Responsibilities:
IT Management
- Be central point of contact for IT
and communication issues for CARE Vanuatu staff located in Port Vila and
Tanna offices.
- Set up computers for all new staff
in conjunction with CARE IT Branch, HQ Office.
- Look after local backups to tape
on a regular basis.
- Trouble-shoot computers and report
to CARE IT Branch, HQ Office.
- Ability to follow standard
procedures and process and record information for logistics
- Ensure that all CARE Staff have
proper email addresses and access.
Communications Management
- Examine phone bill to ensure that
all mobile numbers are current staff
- Provide basic report on Mobile
Phone and land line usage
- Communicate all issue back to IT
branch, HQ Office
- Ensure a stock of phone credit
card available, at any time, for the renewal of used cards (professional
calls) as required, for all the CARE staff
- Register all card amount given to
each staff (based on quotas defined) and submit to the Finance Manager on
the last day of each month
- Maintain and update external CARE
contact lists (donor & partner contact list)
- Manage communication, adhering to
the CARE International protocol, before, during and after disasters
- Update, on an ongoing basis, CARE
Vanuatu Staff and phone number list
- Ensure that all staff has a phone
credit card emergency phone at all times
- Ensure that all satellite phones
are charged as soon as returned to the office
- Ensure that the Security and
Safety visitor guidelines are regularly updated (monthly basis if
required)
- Maintain regular phone contact
with each field team according to the field trip plans.
Asset Management
- Maintain
Asset Register of all CARE Vanuatu IT equipment, office equipment and
office furniture
- Ensure
regular maintenance and repair of equipment/furniture as required
- Register
all IT, phone and other equipments allocated to CARE Vanuatu staff
- Inform
the CARE Logistics Coordinator of broken or lost equipment
- Inform
all the staff of the proper use and security procedures of CARE
equipment/property.
Office maintenance
- Inform
the CARE Finance Manager of any specific owner requirements
- Ensure
good working conditions of all basic requirements (electricity, gas,
water…)
- Organize
and supervise all maintenance work or repair as needed or requested
- Inform
all the staff of the proper use and security procedures of CARE
equipment/property
- To
collect on a regular basis the CARE mail from the Post Office box. ( 2
times / week )
- To
supervise the work of the cleaner
- Promote
CARE vision, mission and core values among staff and partners.
Criteria:
- Diploma
in Office Administration, Logistic, Business Studies, Organization
& Development, or relevant Administrator positions working
preferably for an international non governmental humanitarian organization
(INGOs)
- Minimum
Five years of work experience as Administration / Logistic officer
preferably for an international non governmental humanitarian organization
(INGOs)
- Proficient
in MS Office applications (Excel ,Word, Powerpoint, Microsoft outlook)
- Proficient
in IT skills and maintenance
- Fluent
in written and spoken English and Bislama
- Ability
to prioritize, problem-solved and meet agreed deadlines
- Open-minded,
willing to learn, respectful towards all the CARE staff
- Respect of the principles, core values and internal procedures of the
organization.
